Stallholder Terms & Conditions

PARTICIPATION REQUIREMENTS

To be eligible to participate in the CMRI Christmas Fair Wagga Wagga, you must hold a valid public liability certificate of currency to a minimum value of $10m. If you intend selling any type of food or drink at the Fair you must comply with all NSW Food Authority Guidelines for operating a temporary food outlet. All stalls must be operational for the entire duration of the event. You agree to follow all instructions of the CMRI Wagga Wagga Committee while on-site.

STALLHOLDER ACCEPTANCE

Acceptance as a stallholder at the CMRI Christmas Fair Wagga Wagga is at the discretion of the CMRI Wagga Wagga Committee. Prior acceptance does not guarantee future acceptance to the Fair. Acceptance to participate in the Fair also acknowledges you agree to the terms and conditions as set out below. Upon acceptance you will be sent a Stallholder Briefing email – it is your obligation to read and understand all the requirements of your participation in the event. Payment of stallholder fees will be required within 2 weeks of this email otherwise the site will be reallocated.

On acceptance stallholders are entitled to:

  • Stall site at the Murrumbidgee Turf Club (MTC)

  • Support and communication throughout the day(s) from Fair coordinators

  • Advertising and promotion of the event

  • Access to bins

MTC TERMS & CONDITIONS

The MTC is a working racecourse and every morning jockeys and trainers work their horses and the days of our Fair are no exception.  It is essential that you follow the below guidelines with regards to bump in and bump out to ensure the safety of the horses, jockeys and yourselves at all times.

For insurance purposes, the MTC have requested we limit our entry and exit procedures.     You may see cars inside the MTC grounds, but these may be MTC staff and/or committee members who are running on a different schedule or trainers and jockeys.

You will be required to accept the MTC Terms and Conditions separately in your stall application so we are able to give assurance to the MTC that all stall holders will adhere to bump in and bump out guidelines.

TIMES

Event Hours:

  • The CMRI Christmas Fair Wagga Wagga will be opened to the public:

    • Friday 10.00am – 5.00pm

    • Saturday 10.00am – 4.00pm

  • Bump-in:

Stallholders will have car access to the stall area from Thursday 1:00pm to 7:00pm. Access on Friday and Saturday will only be from the Travers Street entrance from 9:30am with parking only allowed in the carpark – there is no car access to the stall area.  Entry to the MTC prior to 9:30am is not permitted. There will be no access at the Slocum Street entrance and/or carpark before 9.30am.

  • Bump-out:

From 4pm on Saturday. No vehicle movements permitted inside the event site until 4pm.

  • All stallholder vehicles must comply with Traffic Marshal's directions

COMMISSIONS: 

A commission of 10% on all sales or orders taken at the Fair is to be made to CMRI Wagga Wagga.  We will supply paperwork for calculation purposes.  Commissions and paperwork are to be handed into the Fair office before you depart the Fair on Saturday afternoon. 

Please be honest about your sales so we can continue the hard work of CMRI.  Noncompliance could lead to refusal to future CMRI Christmas Fairs at Wagga Wagga.

SITE ENTRY & LAYOUT

Stall sites will be designated by the CMRI Wagga Wagga Committee. This may vary from event to event and is unfortunately not negotiable.

This site layout has been prepared to both suit the venue and the anticipated number of stallholders. The site layout seeks to maximise patron flow around the venue and minimize "dead areas."

WIFI & PAYMENT FACILITIES

Individual Stallholders are welcome to use their own credit card facilities.  Please note there is no WIFI available at the MTC.  It is your responsibility to have the appropriate connectivity to make your payment systems work.  ATM facilities are available at the MTC.  

SECURITY

Security Guards will be onsite at the MTC throughout the Fair.  This will include overnight on Thursday and Friday to enable you to leave you stalls set up in preparation for the next days trading.

WASTE MANAGEMENT

All stallholders taking part in the CMRI Christmas Fair Wagga Wagga are encouraged to use environmentally friendly products and packaging where possible. Upon completion of bump-out, your site must be left clear and tidy with all rubbish removed and deposited in bins provided or taken with you.

POWER

Power is very limited so please ensure you indicate your need for power in Special Requests on your registration form. The purpose for power also needs to be provided to ensure we can locate your stall in the most appropriate powered site. Powered sites are limited and will be allocated at the discretion of the Fair Committee. Stallholders requiring power must only use power leads that are tested and tagged. It is essential that extension leads do not present a trip-hazard to the public. Excess cords must be coiled safely within the stall and not accessible to the public. Exposed cords must be either covered with mats or taped with waterproof tape.

MARQUEE WEIGHTS COMPLIANCE

CMRI Christmas Fair Wagga Wagga can at times experience high wind. It is a requirement that if you are providing your own marquee you have weights attached at all times.

SMOKING

Murrumbidgee Turf Club is a smoke free zone under NSW law and Cancer Council recommendations.

PUBLIC LIABILITY INSURANCE

It is a requirement of participation that all stallholders must carry their own Public Liability Insurance to a minimum value of $10 million. A copy of your insurance certificate MUST be forwarded at the time of submitting your stallholder application form. Stallholder applications will not be accepted without an insurance certificate.

CANCELLATIONS POLICY & WARRANTIES

By submitting an application to participate in the CMRI Christmas Fair Wagga Wagga, stallholders agree that if they cancel at any time after acceptance they will relinquish the site fee paid at the time of application.

If, in the event of extreme weather conditions, including excessive rain, high winds, electrical storms, flooding or extreme heat or total fire ban conditions, the CMRI Wagga Wagga Committee may be forced to cancel the event or continue with a downsized event. In such circumstances, all stallholders will be notified via email of the cancellation or downsized event and whether their site will be available in such an event. Stallholder fees are non-refundable in either situation.

In the event of a COVID 19 outbreak and the Fair is cancelled inline with the NSW Government advice, stallholders will be eligible for a full refund less an administration fee of $10.

  • The stallholder acknowledges that the CMRI Wagga Wagga Committee does not make any representation or give any warranty with respect to the event, including the number of attendees or the success or profitability of the event.

  • The stallholder participates in the event at its' own risk.

  • The stallholder acknowledges that CMRI Wagga Wagga Committee is not responsible for, and accepts no liability in relation to, the stallholder's participation in the event.

  • CMRI Wagga Wagga Committee's liability to you will be limited to the amount(s) paid by you in respect of any site rental or fee paid.

  • In no circumstances will CMRI Wagga Wagga Committee be liable to you for any indirect, incidental, special and/or consequential losses or damages (including loss of profits or opportunity) arising in connection with the event.
